Sync customers and suppliers with Xero

Customers and suppliers in Cin7 Core are linked to contacts in Xero. Customers and suppliers are always exported to Xero, but you can choose to download all contacts from Xero into Cin7 Core or limit downloads only to contacts associated with bills and invoices.

Prerequisites

Export from Cin7 Core to Xero

Customers created or updated in Cin7 Core are exported to Xero as contacts on your next sync. This includes contacts from Cin7 Core which are exported as contact persons in Xero. Cin7 Core attempts to match existing Xero contacts according to name.

Download from Xero to Cin7 Core

Contacts are always downloaded from Xero to Cin7 Core when they are associated with a sale invoice or purchase invoice (bill). Contacts that download with a sale invoice are created as customers in Cin7 Core, while contacts downloaded with a purchase invoice are created as suppliers. Cin7 Core attempts to match existing Xero contacts according to name and type (customer or supplier).

Updates to existing contacts are downloaded whenever you sync with Xero.

Contacts in Xero that are not associated with a purchase or sale can be optionally downloaded to Cin7 Core as customers when Treat all Xero contacts as customers is enabled.

Sync phone numbers with Xero

You may experience errors when syncing phone numbers with country codes, area codes, and extension codes. This is due to Xero phone number format requirements.

Xero has three fields for phone numbers:

  • Phone number max. length 50 characters
  • Area code max. length 10 characters

  • Country code - max. length 20 characters

Cin7 Core checks how many parts, separated by spaces, are in a phone number when exporting to Xero.

  • No spacesCin7 Core exports entire number to Phone number.

    • 0424717890#507 This number will sync successfully to Phone number (no spaces, <50 characters).

    • 04-24717890#507 This number will sync successfully to Phone number (no spaces, <50 characters).

  • One spaceCin7 Core exports the first part to Area code and the second part to Phone number.

    • 0424717890 #507  This number will sync successfully to Phone number #507 andArea code 0424717890.

    • 04-24717890 #507 This number will not sync successfully. Cin7 Core tries to split it into Phone number #507 and Area code 04-24717890. Area code exceeds max. length of 10 characters.

    • 04 24717890#507 This number will sync successfully to Phone number 24717890#507 and Area code 04.

  • Two spacesCin7 Core exports the first part to Country code, the second to Area code, and the third part to Phone number.

    • 04 24717890 #507 This number will sync successfully to Phone number #507, Area code 24717890, and Country code 04.

Delete or deprecate a customer or supplier

Archiving a contact in Xero does not deprecate nor delete the customer or supplier from Cin7 Core. You must manually deprecate and delete the customer or supplier in Cin7 Core after archiving in Xero.

Creating another sale or purchase with the same customer or supplier in Cin7 Core will create the contact again in Xero upon export.

FAQ

After renaming a contact in Xero and creating a sale for the same contact, Xero shows a sales invoice raised in Core that was synced to Xero with the wrong contact. Why?

Xero does not select manually whether a contact is a customer or a supplier, this is directly determined by whether the invoice is raised against accounts payable or accounts receivable. This is a limitation from the Xero side. We recommend merging the contacts in Xero to avoid sync issues.
