Line-Level PO Supply Status & Original Order History

Summary

Add line-level supply status tracking and preserve immutable original order quantities and dates on Purchase Orders to enable accurate reporting of delayed, partial, and cancelled supplier fulfilment.

Problem

In Cin7 Core, there is no way to explicitly track the fulfilment outcome of individual PO lines (e.g. delayed or cancelled) while preserving the original order intent.

Current workarounds—adjusting quantities, splitting POs, or closing POs—permanently alter historical data and skew reporting. This forces businesses to choose between operational cleanliness and historical accuracy.

Example Scenario (Single Purchase Order)

• 5 January – PO #PO5678 is raised to Supplier A with three items:

Current Outcome in Cin7 Core

• All three lines remain open
• No way to mark Item 1 as partially supplied with balance pending
• No way to mark Item 2 as delayed
• No way to mark Item 3 as cancelled / not expected
• Adjusting or removing lines deletes the original January order intent
• Reporting cannot clearly show ordered month vs actual supply outcome per item

Required Outcome

• Each line retains:
  • Original order date (5 January)
  • Original ordered quantity
• Each line can be explicitly marked:
  • Item 1: Partially Supplied – Balance Pending
  • Item 2: Delayed
  • Item 3: Cancelled / Not Supplied
• Reporting can clearly show:
  • What was ordered in January
  • What was supplied on time
  • What was delayed and for how long
  • What was never supplied

Requested Enhancements

1. Line-Level Supply Status
   Selectable per PO line (e.g. On Time / Partially Supplied / Delayed / Cancelled), independent of quantities received and available in reports.
2. Immutable Original Order Data
   Store original ordered quantity and order date as read-only once a PO is approved.
3. Line-Level Closure (Optional)
   Ability to close or cancel individual PO lines without closing the entire PO.
4. Reporting Support
   Enable reporting on ordered month vs received month and days outstanding per PO line.

Business Impact

Without this functionality, accurate supplier performance tracking and lead-time reporting are not possible for partial or delayed supply environments. This is a significant limitation for inventory-driven businesses with long or variable supplier lead times.
