Manage roles

Roles are sets of permissions that control what users can do in Cin7 Core.

For example, if Role A has full access to all areas of Cin7 Core, then users with Role A have full access to all areas of Cin7 Core. If Role B has full access to some areas but read-only access to others, then users with Role B have full access or read-only access to each area accordingly.

Create as many roles as your business needs and apply them to users to manage their access. As your business needs change, you can edit roles to change their permissions and delete roles you don’t need.

Prerequisites

Create a role

  1. From the Settings menu in the navigation, open Users and roles.

  2. Open the Roles tab.

  3. Click Add New Role.

  4. Enter the Role name.

  5. Click Save.

  6. For each area of Cin7 Core, select this role’s permission:

    • Full access: This role can view and edit the area.

    • Read-only access: This role can view but not edit the area.

    • No access: This role can't view or edit the area (to select No access, don’t select anything).

  7. Click Save.

To give this role full access or read-only access for all areas, click Full access or Read-only access in the header.

Assign or deassign a role

When you assign a role to a user, the user inherits the permissions of that role.

If you apply more than one role to a user, they inherit the highest level of access granted by any of those roles. The permission that’s in effect is known as the effective permission.

To assign a role to a user:

  1. From the Settings menu in the navigation, open Users and roles.

  2. Open the User tab.

  3. Select the user.

  4. Click + Role.

  5. Select the Role to add.

  6. Click Save.

To deassign a user from a role:

  1. From the Settings menu in the navigation, open Users and roles.

  2. Open the User tab.

  3. Select the user.

  4. Under Roles, click delete (X) for the role to remove.

  5. Click Yes.

Edit a role

Edit a role to change its permissions and the permissions of users it's assigned to:

  1. From the Settings menu in the navigation, open Users and roles.

  2. Open the Roles tab.

  3. Select the role to edit.

  4. For each area of Cin7 Core, select this role’s permission:

    1. Full access: The role can view and edit the area.

    2. Read-only access: The role can view but not edit the area.

    3. No access: The role can't view or edit the area (to select No access, don’t select anything).

  5. Click Save.

To give this role full access or read-only access for all areas, click Full access or Read-only access in the header.

Delete a role

Delete a role if you don't need it. If you delete a role assigned to a user, that user will inherit their permissions from their other roles or special permissions instead.

  1. From the Settings menu in the navigation, open Users and roles.

  2. Open the Roles tab.

  3. Click delete (X) for the role to delete.

  4. Click Yes to confirm.
