HubSpot Integration
Cin7 Core supports synchronisation of Sales, Customers and Products with HubSpot via a dedicated integration.
HubSpot provides data analytics tracking for related external websites with some of its subscriptions. Users using the B2B portal can track customer traffic to the B2B pages, please see Set up Cin7 Core B2B Portal for more information.
Note: Cin7 Core uses the Beta Associations API for our integration with HubSpot - this will enable Cin7 Core users to take full advantage of HubSpot’s new features as they are released. You will need to enrol in HubSpot Beta from your HubSpot account - This is free for paid accounts.
Note: HubSpot’s API currently does not support negative quantities and prices. Due to this, if a Cin7 Core sale contains a negative sale line, it will not be exported to HubSpot.
Prerequisites
-
HubSpot Sales Hub Professional subscription
Enrol in HubSpot Beta API

Import contacts without companies
Companies in HubSpot are equivalent to Customers in Cin7 Core, both can have Contacts associated with them. Unlike Cin7 Core, HubSpot allows you to have contacts without an attached company. Contacts and companies are imported according to the following rules:
A Company from HubSpot will be imported as a Customer.
A Contact with a Company will be imported to a Customer as a Customer Contact (HubSpot company will be the Customer).
A Contact without a Company will be imported as a Customer with one contact (unless Ignore contacts without organisations setting in setup tab is enabled).
Contacts can be associated with multiple companies, see Associate Contact to multiple Companies or Deals for more information.
Force update Cin7 Core entities

Link HubSpot deal stages and Cin7 Core sale statuses
Deals in HubSpot correspond to Sales in Cin7 Core. Therefore, HubSpot deal stages correspond to Cin7 Core sale statuses. While you can have multiple deals pipelines in HubSpot, only one can be imported into Cin7 Core to map to Cin7 Core sale orders. Pipelines can be created and edited from your HubSpot account.
This setup stage is necessary for Sales synchronisation to function correctly.
Click Load pipelines from HubSpot to make sure Cin7 Core has the latest pipeline data from your Hubspot account. Next, select a pipeline to map from the HubSpot pipeline dropdown menu.
Selecting a pipeline will load the deal stages into Cin7 Core where they can be mapped.
Export to HubSpot mapping
Sale orders where Cin7 Core status is mapped to a HubSpot Deal stage will be exported when they reach this stage.
Several HubSpot Deal stages can be associated with the same Cin7 Core Sale status. When a sale is exported from Cin7 Core to HubSpot with a sale status associated to more than one HubSpot Deal stage, the earliest HubSpot stage will be picked for the exported sale.
When a sale order in Cin7 Core changes its status to another status mapped to a HubSpot Deal stage, the Deal will be updated in HubSpot.
Import from HubSpot mapping
The Create a Sale when HubSpot Deal reaches this Stage dropdown will only be visible when Update Sales is set to Import from HubSpot. When a HubSpot deal reaches the stage specified in this dropdown, a Cin7 Core sale will be created with the status mapped in this section.
Sale orders can only be created with status Estimating (Sale Quote Draft), Estimated (Sale Quote Authorized), Ordering (Sale Order Draft), or Ordered (Sale Order Authorized). This is because statuses further ahead in the sale process such as picking, packing, or shipping require information that is not provided in HubSpot. All sales are imported as simple sales, there is not enough information provided in HubSpot to create an Advanced sale.
If HubSpot Deal Stage is mapped to a Cin7 Core status further ahead in the sales process, it will be imported as a sale order with Ordered status.
If Ordered status is not mapped to any HubSpot Deal stage, the imported sale order will get the status Estimated.
If the stage has not been mapped (Unmapped & Ignored is selected for that stage), the sale will be created in Cin7 Core with status Estimated (Sale Quote Authorized).
Note: Cin7 Core loads deals from HubSpot only once when deal reaches the selected stage. Further changes to the Deal in HubSpot will not be exported to Cin7 Core. Once a sale has been imported to Cin7 Core it must be completed in Cin7 Core.
With the settings shown in these screenshots, when a HubSpot deal reaches the Qualified to Buy stage, a sale will be created in Cin7 Core with status Estimated (Sale Quote authorized).
Note: If there is insufficient stock availability to create a sale quote or sale order in Cin7 Core, the user will receive an error. When stock availability increases enough to fulfill the sale, and IF the auto-sync option is set to 'ON' then the sale will be created for the product at the next sync interval automatically. If this option is set to 'Off' then the user will have to sync the sale manually.
NOTE: If Hubspot deal stages for the selected pipeline are updated from HubSpot, the updated/renamed values will display in the Create a Sale when HubSpot Deal reaches this Stage dropdown after the next sync operation.

NOTE: If the connected HubSpot account does not have a HubSpot Professional Subscription, products cannot be added to Deals and Deals/Sales cannot be synchronised in either direction. HubSpot accounts without a Professional Subscription are still able to create and sync products and customers.
On the Setup page, you can choose whether product information is exported to HubSpot or imported from HubSpot. This will alter the display of this tab. Bidirectional synchronisation is not available at this time.
Export Products to HubSpot
The From Cin7 Core sub-tab will be visible on the Products tab if Products synchronisation is set to Export to HubSpot. Your Cin7 Core list will be visible on this sub-tab. You can filter the list using the dropdown fields at the top of the screen and also the search field.
Products can be listed individually and in bulk. If auto-sync is enabled, any new products or updates to listed products will be exported automatically to HubSpot according to the frequency specified by your auto-sync settings. If auto-sync is disabled, new products and updates to listed products must be exported manually from this page.
Default price tier and price tier currency is controlled from the Setup tab, and will be applied to automatic exports. Manual exports can select the price tier and currency. HubSpot does not perform any currency conversion, the value of the price tier in Cin7 Core will simply be exported and the price tier currency applied.
Tier 1 in Cin7 Core is 340, Tier 2 is 300. Cin7 Core organisation base currency is USD.
When manually exporting products from Cin7 Core, user selects Price Tier 1 and Price Tier Currency: EUR
When product is exported, product in HubSpot will have price 340 EUR.
Note: Price values of each tier must be edited from the product screen (Inventory → Products → [select product] → Prices). See Pricing and Price Tiers for more information

List a product on HubSpot
Select a product from the inventory to open the Hubspot product management product window.
Check that the selected Price Tier is correct and the Currency with which to upload the value to HubSpot. In the example below, this product will be exported to HubSpot with a price of 72.6 GBP - this will not be affected by your organisation base currency in Cin7 Core.
Click List on HubSpot to export the product.
Bulk list products on HubSpot
Multiple products from your Cin7 Core can be listed at once on HubSpot. Use the filters and/or search field at the top of the page to show the products that you want to list in bulk. Click Refresh to make sure the inventory list has the most recent information from Cin7 Core.

If auto-sync is enabled, any updates to listed products will be exported automatically to HubSpot according to the frequency specified by your auto-sync settings.
Unlink or remove a product from HubSpot
Clicking a listed product will give you the option to Unlink the product or Remove from Hubspot.
Unlink breaks the mapping between the Cin7 Core product and the HubSpot product, however the product will remain in HubSpot.
Remove from HubSpot completely removes the product from HubSpot.

Click Load Products to import all products from HubSpot into Cin7 Core. If a matching product is found in Cin7 Core and HubSpot is master of data this product will be updated with the information from HubSpot. If auto-sync is enabled, any new products or updates to listed products will be imported automatically from HubSpot according to the frequency specified by your auto-sync settings.
Cin7 Core will attempt to map products according to the following rules:
First the system tries to match products according to SKU – if a matching SKU is found then the two products will be linked.
If no SKU match is found, the system then tries to match products according to product name. If a matching product name is found, then the two products will be linked.
If no SKU or product name is found Cin7 Core will create products automatically if no match is found for a HubSpot product.
Default Price Tier, Price Tier Currency, Location, Product Type (Stock or Service) and Category of auto-created products are configured from the Setup tab of the Cin7 Core HubSpot integration.
Removing a product from Cin7 Core does not remove it from HubSpot and vice versa.
Customers

A Company from HubSpot will be imported as a Customer.
A Contact with a Company will be imported to a Customer as a Customer Contact (HubSpot company will be the Customer).
A Contact without a Company will be imported as a Customer with one contact (unless Ignore contacts without organisations setting in setup tab is enabled).
Customer fields Customer Name, Contact Name, Contact Phone number and Contact email will be imported from HubSpot. If a new Customer is created, default Customer base currency, Revenue account, Payment Term, Default customer taxation rule and Default address type of imported customers are configured from the Setup tab of the Cin7 Core HubSpot integration.
Associate one Contact to many Companies or Deals
HubSpot has recently released its API v4 in Beta stage, however, some features are already available for developers. One such feature is the ability to associate one contact to multiple companies or deals. Cin7 Core can now also use this feature.
Previously, HubSpot only allowed Contacts and Customers/Companies to be associated one-to-one. Now, each contact can be associated with multiple companies. Contacts with duplicate emails in Cin7 Core will be exported as a single contact to HubSpot, associated with each Customer/Company.
Example: if we have 3 Cin7 Core Contacts:
Peter Blood (corsair_1@mail.uk) in the Arabella company,
Henry Morgan (corsair_1@mail.uk) in the Admiralty company and
Richard Worley (corsair_1@mail.uk) in the Revenge of New York company
Only Peter Blood will be exported to HubSpot. Arabella, Admiralty and Revenge of New York companies will be associated with him (and vice versa).
You will need to enrol in HubSpot Beta from your HubSpot account for this feature and the integration in general to work correctly - This is free for paid accounts.
If you have an Association in HubSpot associating Contacts with Companies, Cin7 Core will use this to link contacts and companies
(Click the gear in the top right of the screen to open Settings, then go to Objects > Customers in the menu, then select the Associations tab, Click Create association label, Associate Contacts with Companies. Next, name the association label anything you would like. Create the label to finish)
If you do not already have an Association with these settings in HubSpot, Cin7 Core will create one automatically during export, named Multiple relationship.
Sales
See Introduction to the sales module for more information about how sales are managed in Cin7 Core.
See Deals for more information about deals in Hubspot.
On the Setup page, you can choose whether sales information is exported to HubSpot or imported from HubSpot. Bidirectional synchronisation is not available at this time. Sales are mapped according to sale order number.
Export Sales to HubSpot
If Sales synchronisation is set to Export to HubSpot, then Customer synchronisation and Product synchronisation is automatically set to Export to HubSpot as well.
Sales appear for export as soon as sale quote is created. Sales for export can be filtered by starting date and/or using the search field. New sale orders where Cin7 Core status is mapped to a HubSpot Deal stage will be exported automatically when they reach this stage. If Sale changes status (advances) in Cin7 Core, the stage in HubSpot will be updated. If auto-sync is enabled, any new sales or changes in sale status will be automatically exported to HubSpot according to the frequency specified by your auto-sync settings. New and modified sales can also be exported manually from this page by pressing Start.
Click Refresh to make sure the sales list has the most recent information from Cin7 Core. You can export optional sales fields (e.g. Order Total, Invoice Status, Shipment Status) from Cin7 Core as properties on HubSpot – see Link HubSpot and Cin7 Core sales fields for more information.
New customers and products associated with a sale will be exported to HubSpot automatically in the same operation. If one of these entities fails to export, the sale export will be skipped and an error message will be displayed.
IMPORTANT NOTE: When sale synchronisation is set to Export to HubSpot, updating the deal stage in Hubspot change the sale status in Cin7 Core.
Import Sales from HubSpot
The to Cin7 Core sub-tab will be visible on the Sales tab if Sale synchronisation is set to Import from HubSpot. If you have HubSpot sales already imported, they will be listed here. If not, the screen will be blank.
Press Refresh to ensure the most sale customer information has been loaded from Cin7 Core.
Click Download Sales to import deals from HubSpot into Cin7 Core as sales. A pop-up window will appear to confirm the date from which you wish to import orders. Orders created on or after the selected date and which have reached the trigger stage specified in Link HubSpot deal stages and Cin7 Core sale statuses will be imported. HubSpot deals which have not reached the trigger stage defined in Setup will not be loaded from HubSpot.
If auto-sync is enabled, any new HubSpot deals will be imported automatically from HubSpot according to the frequency specified by your auto-sync settings.
IMPORTANT NOTE: Cin7 Core loads deals from HubSpot only once when deal reaches the selected trigger stage. According to the stage mapping in Link Hubspot deal stages and Cin7 Core sale statuses, Cin7 Core will create the imported sale with one of 4 statuses: Estimating, Estimated, Ordering, Ordered. Other Cin7 Core sale statuses are not supported – this is because they require shipping and payment information to authorize in Cin7 Core which are not mandatory fields in HubSpot.
If there is no status mapping specified for the Hubspot deal stage, the sale will be created in Cin7 Core with Estimated (Quote Authorized) status.
If the Hubspot deal stage is mapped to an unsupported Cin7 Core sale status, the sale will be created in Cin7 Core with Estimated status.
If you change a deal stage in HubSpot for any deal that has already been loaded in Cin7 Core, the relevant sale status in Cin7 Core will not be changed.
If Sales information is imported from Hubspot, then Customer information and Product information is automatically imported from Hubspot as well.
If a Hubspot deal is assigned to a contact that exists as a customer in Cin7 Core, the sale in Cin7 Core will be linked to that customer in Cin7 Core. If a Hubspot deal is assigned to a contact that does not exist in Cin7 Core, the contact will be imported as a Customer in Cin7 Core according to the steps laid out in Import Customers from Hubspot
Cin7 Core will attempt to map products in a Hubspot deal to products in Cin7 Core according to the steps laid out in Import Products from Hubspot, and create products in Cin7 Core if an existing matching product cannot be found.
Log
Clicking the Log tab opens the Hubspot Synchronisation History page. This displays all previous synchronisation details.
Press Refresh will refresh the log history with the most recent information.
Each time the user or Cin7 Core downloads sales, products, or customers the appropriate record is added to the operations log, which also contains information about results of downloading, including the date, time, count of downloaded and updated items, and whether the action was performed manually or automatically by the system.
Errors which occur during sync will be logged here with an explanation of the likely cause. Some errors will contain a link to a downloadable xls file where you can find further details.
Disconnect from Hubspot
At the bottom of the Setup tab, click Disconnect from HubSpot to completely disconnect HubSpot from Cin7 Core. This will remove all links and mapping between HubSpot and Cin7 Core, however, it will not remove any products, customers or sales from HubSpot.
