Xero sync options

Configure what information syncs between Xero and Cin7 Core and how often. Some information is always shared with Xero, some is optionally downloaded or exported, and some information is unable to be shared between the platforms.

Prerequisites

What can I sync?

Some information is always exported to Xero from Cin7 Core, some is always downloaded from Xero to Cin7 Core, and other information can by optionally synced in both directions.

Chart of accounts

Accounts created and updated in Xero will download to Cin7 Core. Chart of accounts is read-only in Cin7 Core.

You can create accounts in Cin7 Core to export to Xero only when connecting to Xero.

Tax rules

Tax rules created and updated in Xero will download to Cin7 Core.

Tax rules created and updated in Cin7 Core are not exported to Xero. If you use a tax rule in Cin7 Core that does not exist in Xero, the rule is not synced, but you will see the correct tax amount in Xero with an adjustment for the difference.

Payment terms

Payment terms created and updated in Xero download to Cin7 Core.

Company addresses

Company addresses created and updated in Xero download to Cin7 Core.

Customers and suppliers

Customers and suppliers are always exported from Cin7 Core to Xero as contacts.

Contacts associated with a downloaded sale are always created as customers in Cin7 Core. Contacts associated with a downloaded purchase are always created as suppliers in Cin7 Core.

Contacts unassociated with a sale or purchase in Xero can optionally be downloaded as customers.

Sales and payments

Sale invoices are always exported from Cin7 Core to Xero.

Sale invoices are optionally downloaded from Xero to Cin7 Core.

Payments can be synced in either or both directions and are automatically allocated to the correct invoice.

Sale credit notes and refunds

Sale credit notes are always exported from Cin7 Core to Xero, but are not allocated to specific invoices.

Sale credit notes created in Xero are not downloaded to Cin7 Core.

Refunds can be synced in either or both directions to a credit note authorized in Cin7 Core.

Purchases and payments

Purchase invoices (bills) are always exported from Cin7 Core to Xero. Purchase orders are optionally exported from Cin7 Core to Xero.

Purchase invoices are optionally downloaded from Xero to Cin7 Core.

Payments can be synced in either or both directions and are automatically allocated to the correct invoice.

Purchase credit notes and refunds

Purchase credit notes are always exported from Cin7 Core to Xero, but are not allocated to specific invoices.

Purchase credit notes created in Xero are not downloaded to Cin7 Core.

Refunds can be synced in either or both directions to a credit note authorized in Cin7 Core.

Products

Products created or updated in Cin7 Core are always exported to Xero as items.

Items in Xero can optionally be downloaded to Cin7 Core. You'll need to add missing mandatory information in Cin7 Core before you can buy or sell products downloaded from Xero.

Manual journal entries

Cin7 Core creates and exports manual journals to Xero for the following transactions:

  • COGS

  • COGS credit

  • Assembly

  • Disassembly

  • Stock adjustment

  • Stock transfer

  • Inventory write-off

  • Sale manual journals

  • Purchase manual journals

Sync status

View your sync status from your Xero navigation or Xero integration settings.

Xero navigation

Access Xero navigation from your navigation bar anywhere in Cin7 Core.

When connected, this shows you how many items are waiting to sync and any failed items.

When not connected, opening Xero navigation will show you how many items are waiting to sync. You may need to log in to Xero to reestablish your credentials and connect.

Xero integration settings

View your sync status from your integration settings.

  1. Select Integrations from the main menu

  2. Select Xero.

  3. View Xero connection status and any items that have failed to sync here. From here, you can view your entire sync history or Review failed items only.

Sync data manually

Sync data manually between Cin7 Core and Xero at any time.

  1. Open Xero navigation from any Cin7 Core screen. This shows you a summary of items, both waiting to sync and failed.

  2. Click Sync now.

Sync data automatically

Enable auto-synchronization to sync data between Xero and Cin7 Core on a regular schedule.

  1. Select Integrations from the main menu

  2. Select Xero.

  3. Enable Auto-synchronization. This makes more synchronization settings visible.

  4. Configure the following settings:

    • Select a start date for the first auto sync operation.

    • Select a start time for the first auto sync operation. Cin7 Core will use your organization country's local time.

    • Select a sync frequency. The sync period will be counted from the Start date and Start time.

    • Select the alert type for errors. Receive notifications of sync errors either internally or via email.

      • If alert type is Email, select a mailing list of email recipients.

  5. Save your changes.

Configure Xero autosync settings

View sync history

View your sync history to see all unconsolidated items synced to and from Xero, including pending, skipped, and failed items. You can view consolidated transactions elsewhere.

  1. Open Xero navigation from any Cin7 Core screen.

  2. Click See sync history.

  3. View a list of all items waiting to sync, already synced, and any failed items. You can filter the list according to sync status, sync entity, or search for specific items.

Sync statuses

Pending

Cin7 Core will attempt to export any Pending items the next time sync with Xero is triggered. You can set this status manually to retry sync for Warning and Failed items.

Skipped

Cin7 Core will not attempt to export Skipped items to Xero. You can set this status manually.

Completed

Completed items have successfully synced to or from Xero. Follow the hyperlinks to view the item in Cin7 Core or in Xero.

Warning

Warning items could not sync to Xero. Cin7 Core will not try to sync these items again automatically, this reduces the number of API calls from Cin7 Core to Xero. Address the Errors and retry sync or skip the entry to ignore it.

Failed

Failed items could not sync to Xero. Address the Errors or skip the entry to ignore it. Cin7 Core will try to sync these items again on your next sync.

Skip synchronization

Skip entries to cancel export to Xero.

  1. Open Xero navigation from any Cin7 Core screen.

  2. Click See sync history. Before synchronization, all items or transactions have status Pending. You can skip the sync of any pending, failed, or warning entry.

  3. Select the Status of an entry and change it to Skipped.

Retry sync

Retry synchronization for Failed or Warning items after fixing errors.

  1. Open Xero navigation from any Cin7 Core screen.

  2. Click See sync history.

  3. Address any errors for errors with status Failed or Warning.

  4. Select the Status of an entry and change it to Pending.

  5. Cin7 Core will try and export the entry to Xero the next time sync is triggered.

Consolidate transactions on export

Cin7 Core accounts integrated with Xero support consolidating transactions instead of processing each transaction individually. This helps to avoid processing limitations from Xero.

You can consolidate:

  • Sale invoices and credit notes

  • Payments (for sales)

  • COGS

  • Manual journals

  • Money tasks (send money, receive money)

Sale channel sync type

Configure how transactions from your sales channels (invoices and credit notes, COGs, payments, and money tasks) are exported to Xero. You can select Individual or No sync for each sales channel and transaction from this table.

Turn off sales sync

Turn off sales synchronization for a whole sales channel, or just some types of transactions. You can turn off sync for sale invoices and credit notes, payments, and COGS. Other transactions are not affected by this setting.
