View product availability

View your product availability, what has been allocated to sales and work orders, and the expected delivery date of stock on order. You can view general product availability for all of your products, look up availability during a sale or purchase, or view availability and stock movements of a specific product from its record.

Prerequisites

View general product availability

View general product availability for all products and locations. From here, you can search for columns, customize visible columns with table settings , print product labels, and export the report.

  1. Select Inventory from the main menu, then Availability.

If a product has a serial number or batch costing method, by default this report displays availability for each unique serial or batch number. Hide Serial/batch no. and Expiry date columns to view total availability for the product SKU.
Product availability only shows SKUs with no movements or transactions (authorized sale or purchase order, stock adjustment, etc.) or an initial stock quantity. Out of stock products with no movements will not appear, even if show only non-zero quantities is not checked. To see products which do not yet have any movements, try the Stock Level Report.

Product availability and multiple units of measure

If you sell products in multiple set quantities, (e.g. a single bottle of wine, a case of 6 bottles, and a case of 12 bottles), you can set up units of measure to automatically handle conversions. When you purchase a larger pack, it is automatically disassembled into the smallest or base unit.

Only assembled larger units will appear as On hand, however Available quantity will reflect both assembled units and assembled units which could be assembled from the smallest unit. For example, if you have 60 bottles in stock, product availability will show 60 singles on hand but 5 cases of 12, 10 cases of 6, and 60 singles available for sale.

A larger unit SKU will not show as available, even with components in stock, if it does not have any movements or transactions associated with it.

Check stock availability from product record

View stock availability for a single product from that product's entry in your inventory.

  1. Select Inventory from the main menu, then Products.

  2. Open a product.

  3. Go to the Stock tab. This shows the availability of the product in your different locations. From here, you will know the number of stock you have on hand, available, allocated, and on order.

Verify product availability during purchase order

View product availability during sale order

When you add an item to a sale quote or sale order, its availability is displayed in the form Available/On hand. You can show available product quantity in All locations or Selected location only through your sale process customization settings.
